Renumber all members at one time

This article explains how to renumber all membership #s in a batch.

Why would you renumber your members?

  • You may have barcodes or other scan cards with numbers that conflict with Gym Assistant membership numbers.  You can renumber the membership numbers so that they are all higher than (or lower than) your scan card numbers.
  • You may need to merge databases that have conflicting memberhip numbers.

Here are the Steps:

Important:  Before utilizing this feature you must be running Gym Assistant 2.0.1 build 260 (or later) and ProShop 2.0.1 build 63 (or later).  To download the latest versions of software go to:

  • Start both Gym Assistant and ProShop (if you have purchased ProShop). 
  • If have a network license then make sure that no other workstations are running Gym Assistant or ProShop.  To view the status of all Gym Assistant workstations on the network:
    • Select Troubleshooting / Network Diagnostics from the Help menu.
    • Click on the small window that is partially visible below and behind the View Members window.  This will display the status of all workstations.
  • In Gym Assistant select Special Features from the Utilities menu.
  • Select Custom Command and click OK.
  • Enter the command "renumber all members" (without quotes) and click OK.
  • Click Yes to confirm you want to continue.
  • Click Backup to backup your data (unless you already backed up before starting this process).
  • Enter the new beginning membership number and click OK.  The default is 1, but you might starting numbering at 1001 or 10001.  (Gym Assistant membership numbers can range from 1-32,000.)
  • Enter the text "renumber" (without quotes) and click OK to continue.  This process can take a long time, so enjoy a cup of tea or coffee while you wait....
  • After the process completes restart Gym Assistant.
  • Do a Members Detail report to see the highest membership number that you have.
  • Select Program Options from the Settings menu.
  • Set the Next Membership Number to Add to one higher than the current highest membership number.
  • Select Special Features from the Utilities menu.
  • Select Clear Used Membership #s and click OK
